Privacy Policy
We collect as little as the Service needs, and visitor lists stay on the visitor's device, not on our servers.
1. Who This Policy Covers
Three kinds of people interact with the Service:
- Organizers — account holders who create layouts and subscribe to a plan.
- Vendors and exhibitors — people and businesses whose names and details an Organizer adds to a plan.
- Visitors — members of the public who view a published plan. Visitors do not create accounts and are not asked for personal information.
2. Information We Collect
From Organizers
- Account information. Name, email address, organization name, and password (stored in hashed form).
- Billing information. Payments are handled by our payment processor. We do not receive or store full payment card numbers; we receive limited billing details such as plan, payment status, and the last digits and brand of a card for your reference.
- Content you provide. Layouts, venue names, space assignments, images, descriptions, links, and any vendor or exhibitor information you enter or import.
- Communications. Messages you send us, such as support requests.
From Visitors
- Nothing that identifies you, by design. Viewing a published plan does not require an account, an app, or a form.
- Lists stay on your device. When you mark stalls or stands of interest and build a walking list, that list is stored locally in your browser on your own device. It is not transmitted to or stored on our servers.
- Routine technical data. Like virtually all websites, our servers automatically receive standard technical information when a page loads — IP address, browser type, device type, pages requested, and timestamps — which we use for security, debugging, and aggregate usage statistics, and retain only for a limited period.
About Vendors and Exhibitors
Organizers may enter or import information about vendors and exhibitors — typically a business or personal name, what they sell or do, a website or social link, and a space assignment. We process this information on the Organizer's behalf and at the Organizer's direction. The Organizer decides what is collected, what appears on a published plan, and who can see it. If you are a vendor or exhibitor with questions about your listing — including corrections or removal — please contact the event's Organizer first, as they control the plan. We will assist Organizers in honoring such requests, and you may also contact us directly using the details in Section 13.
Cookies and Similar Technologies
We use a small number of cookies and similar technologies that are necessary for the Service to work — for example, keeping Organizers signed in and protecting against fraudulent requests — plus browser local storage on plan pages to keep Visitor lists on the Visitor's device. If we use any analytics, we configure them to be privacy-respecting and to avoid building profiles of individual visitors. We do not use advertising cookies and we do not show ads.
3. How We Use Information
We use the information described above to:
- provide, operate, and maintain the Service, including displaying published plans and embeds;
- create and manage Organizer accounts and process subscription payments;
- respond to support requests and communicate about the Service (such as billing notices, security alerts, and important changes);
- monitor, secure, and debug the Service and prevent fraud and abuse;
- understand aggregate usage so we can improve the Service; and
- comply with legal obligations.
We do not use your content or vendor and exhibitor information for advertising, and we do not sell personal information.
4. How We Share Information
We share information only in the following circumstances:
- Service providers. With vendors who help us run the Service — such as cloud hosting, email delivery, and payment processing — under contracts that limit their use of the information to providing services to us.
- At your direction. When an Organizer publishes a plan or embeds it on a website, the content of that plan (including any vendor and exhibitor details the Organizer included) is visible to anyone with access to the link or the embedding page.
- Legal reasons. When required by law, subpoena, or legal process, or when we believe in good faith that disclosure is necessary to protect the rights, safety, or property of our users, the public, or w3developing.
- Business transfers. In connection with a merger, acquisition, financing, or sale of assets, in which case this Policy will continue to apply to the transferred information and we will provide notice of any material changes.
We do not sell personal information, and we do not share it for cross-context behavioral advertising.
5. Data Retention
- Organizer accounts and content: retained while your account is active. When you delete content or close your account, we delete or de-identify the associated information within a reasonable period, except for copies in routine encrypted backups (which age out on a fixed schedule) and records we must keep for legal, tax, or accounting purposes.
- Server logs and technical data: retained for a limited period appropriate for security and debugging, then deleted or aggregated.
- Visitor lists: never held by us — they live in the Visitor's own browser and can be cleared by the Visitor at any time through their browser settings.
6. Security
We use reasonable administrative, technical, and physical safeguards designed to protect personal information, including encryption in transit, hashed passwords, and access controls. No method of transmission or storage is completely secure, so we cannot guarantee absolute security. If we learn of a breach affecting your personal information, we will notify you and the relevant authorities as required by law.
7. Your Choices and Rights
Depending on where you live, you may have rights to access, correct, delete, or receive a copy of your personal information, to object to or restrict certain processing, and to withdraw consent where processing is based on consent.
- Organizers can view and update account information in account settings, export their content, and close their account. You may also contact us to exercise any of the rights above.
- Vendors and exhibitors should contact the relevant Organizer, who controls the plan content; we support Organizers in honoring these requests and will respond to requests made directly to us to the extent we are able.
- Visitors hold their own data: clearing your browser's site data for boothmanagerpro.com removes any locally stored lists.
We will respond to verified requests within the time required by applicable law, and we will not discriminate against you for exercising your rights. If you are in a jurisdiction with a supervisory authority (such as the EEA or UK), you also have the right to lodge a complaint with that authority.
Residents of U.S. States with Privacy Laws (including Oregon and California)
We do not sell personal information or process it for targeted advertising, and we collect only the categories described in Section 2 for the purposes in Section 3. You may exercise access, correction, deletion, and portability rights by contacting us as described in Section 13, and you may appeal a refusal by replying to our response.
Users in the EEA, UK, and Similar Jurisdictions
Where these laws apply: we act as the controller for Organizer account data and website technical data, and as a processor on behalf of Organizers for vendor and exhibitor information included in plans. Our legal bases are performance of a contract (providing the Service you signed up for), legitimate interests (securing and improving the Service), and legal obligation. The Service is operated from the United States, and information we hold is processed and stored in the United States; where required, we rely on appropriate safeguards for international transfers.
8. Children
The Service is not directed to children, and Organizer accounts require users to be at least 18. We do not knowingly collect personal information from children under 13 (or the higher age required in your jurisdiction). If you believe a child has provided us personal information, contact us and we will delete it.
9. Embeds on Other Websites
When a plan is embedded on an Organizer's website, the embed loads from our servers and this Policy governs the embed itself. The surrounding website is controlled by the Organizer (or other site owner) and is governed by that site's own privacy practices. We do not use embeds to track visitors across websites.
10. Third-Party Links
Published plans may include links to vendor and exhibitor websites and social profiles, added by Organizers. Those sites have their own privacy policies, and we are not responsible for their practices.
11. Do Not Track and Opt-Out Signals
Because we do not track visitors across sites or sell personal information, there is nothing for such signals to opt you out of; we treat all visitors the way opt-out signals request by default.
12. Changes to This Policy
We may update this Policy from time to time. If we make material changes, we will provide notice — for example, by email to Organizers or a prominent notice in the Service — before the changes take effect. The "Effective date" at the top shows when this Policy was last revised.
